Modify Item Batches

Modify Item Batches

Overview

This guide will help you correct approved batch information without changing unexplained stock quantities or transaction history.

Batch attributes can affect availability, expiry reporting, selection, costing, and record history. Historical re-rendering needs verification.

Who can do this

You need access to Modify Item Batches and relevant inventory rights.

Before you start

Back up the database. Identify batch, item, location, quantities, purchases/sales/returns, expiry, cost, tax, and required correction evidence.

Before saving, check that the correct company is open and that you have permission to complete this task.

Where to find it

Back Office → Items & Advanced Inventory → Modify Item Batches.

Modify Item Batches

Step 1: Find the exact item/batch by stable identifiers

Step 2: Compare stored values with source documents and Batch/Stock Ledger reports

Step 3: Change only fields supported for correction

Step 4: Do not alter quantity to replace an Inventory Adjustment/Transfer/Return

Step 5: Confirm/save once

Step 6: Reopen batch and affected reports

Check your work

Compare and Confirm batch report, stock/location, expiry, ledger movements, valuation, and a controlled selection transaction.

Take a moment to check your work before closing the window. This small check can save time later.

If something goes wrong

  • Use supported stock transactions for quantity/location corrections.
  • Preserve old/new values in the audit record.
